ORIENTATION
Student Employment
This orientation will provide you with an overview of Rivier’s student employment program.
- When you finish this orientation you will:
- Understand what the student employment program is
- Understand how you qualify for student employment
- Understand the student employment awards
- Know how to search and apply for open positions
- Know how much you will earn and the importance of filling out timesheets correctly
- Know which documents you MUST COMPLETE before you start working
- Understand how you will be paid
- Know what is expected of you as an employee
- Know about Rivier University’s Sexual Harassment Policy
Student Employment Program
The Student Employment Program helps students become more familiar with Rivier’s community, thus providing a more solid connection to the University. It also:
- Assists students in meeting educational and personal expenses
- Assists students in gaining valuable work experience that will be helpful in your years after graduation
Remember, earnings are not factored into income when applying for financial aid.
Student Employment Qualifications
Student employees must:
- Be enrolled at least half-time
- Maintain minimum cumulative GPA 2.0
- Be a U.S. Citizen, permanent resident or eligible non-citizen
Student Employment Awards
- New resident students are awarded a flat amount of $2,000. Once hired, this will be adjusted according to the number of hours in the position.
- Commuter and returning students are awarded student employment funds when our office is notified that the student has found a position. There must be room within the student’s budget to add these funds.
Award Increase, Cancellation or Reduction
- The student employment amount can be increased per the request of the supervisor (up to no more than a total of 19.5 hours per week)
- Student employment can be cancelled or reduced if the student needs other funding to satisfy his/her account with the Business Office (this includes a parent plus loan or alternative student loan)
Employment Opportunities
- Student employment positions will be posted July 1st for the fall semester and November 1st for the spring semester
- Positions are posted on our website at: www.rivier.edu/finaid
- All students are sent an email once jobs have been posted.
- Students are required to contact the hiring supervisor of the position and apply directly.
- Our office does not offer job placement.
The Hiring Process
- The hiring supervisor notifies the Office of Financial Aid that they wish to hire a student. The Office of Financial Aid will review the hours requested to see if the student is eligible to work those hours
- The Office of Financial Aid will make sure the student has completed their I9, W4 and Student Employment contract. If the request is for a returning student, the minimum GPA requirement of a 2.0 will be reviewed
- Once it has been determined that the student is eligible to begin working, a confirmation email will be sent to the student’s Rivier email as well as the supervisor and payroll.
The Hiring Process, continued
- If the student is not able to work the number of hours that the supervisor has requested but can work a lower amount, that confirmation email will also be sent to the student’s Rivier email as well as the supervisor and payroll.
- If the student is not eligible to participate in the program, that information will be sent to the student and supervisor, via email.
Earnings and Timesheets
- You are paid $7.25 per hour in quarter-hour increments
- Timesheets are reviewed for accuracy and signed by appropriate supervisor
- Timesheets need to be submitted on time in order to be paid on time
- You must fill out your timesheet at the end of each shift that you work
- You must sign your timesheet at the end of your first shift of a new pay period. This ensures that if you are not working the day timesheets are turned in that your supervisor will have it ready to go

- You must not "pre-sign" any blank timesheets
- You are paid bi-weekly in the form of a paycheck, or you may sign up for direct deposit. You can access a direct deposit form at: www.rivier.edu/finaid under the Work Study tab on the left.
Before a student may begin working
ALL students MUST complete the following:
- Forms I9 & W4 with the Office of Human Resources (if not on file)
- Student Employment Contract and Confidentiality Agreement (which is available at the end of this orientation) or you may download from your Net Partner portal
**These items are not optional and must be completed prior to starting
any student employment position for the first time**
Contract and Confidentiality Agreement
- This form is completed once by the student and filed in the Office of Financial Aid
- This form establishes the student employee expectations, guidelines, and "at-will" employment status
- Students are not eligible to participate in the Student Employment Program without this form on file
Conduct
Student employees of Rivier University represent our campus and are expected to behave in a professional manner. They are expected to:
- Develop positive relationships with supervisor and coworkers
- Perform job assignment in a serious and responsible manner
- Follow the work schedule that has been agreed upon; notify their supervisor as soon as possible if unable to work the assigned shift
- Dress appropriately as described by the supervisor
- Discuss work-related problems with the supervisor
- Give at least one week’s notice before leaving a position
- Not to work more than the amount of hours approved

- Not use University equipment or office supplies for personal use
- Not remove student records from University offices, unless requested to by the appropriate supervisor
- Not socialize with friends or use cell phone for personal use while working

Privacy/Protection of Records
- If granted access, Student employees will be held accountable for the protection of the information and its contents
- Student employees are required to comply with all FERPA and HIPAA regulations
- FERPA protects privacy of student records. HIPAA protects the confidentiality and security of healthcare information

Responsibilities
- Student Employees are students first and student employees second, so balancing school work with scheduled work hours is important.
- Student Employees may not work in excess of approved hours
- Student Employees may only work between dates outlined on the payroll schedule
- Student Employees must record their hours worked daily. Remember, Hours worked = Hours paid
- It is the responsibility of both the student and supervisor to keep track of hours to ensure that you are not exceeding your allotted time.
Hours Worked and Break Times
Per NH State Law and Rivier University Policy:
- Student Employees may only work approved hours; not to exceed a total of 19.5 hours per week between ALL student employment positions
- Student Employees working between 4 and 5 hours are entitled to a paid 10 minute break
- Student Employees working a shift greater than 5 hours are required to take an unpaid 30 minute lunch/dinner break, which must be reported on the time sheet
Periods of Employment
- Student employees are hired by the semester or the academic year
- Approval for each student employment position is required
- Student employees may work between the dates determined by the Payroll Office
- Outlined on Payroll Schedule
- Summer employment is conducted through the Office of Human Resources and is not considered Student Employment
Volunteering at Work
- Fair Labor Standards Act of 1938
- Employer cannot accept voluntary services from a paid employee
- Student Employees MAY NOT volunteer hours at their student employment position
Sexual Harassment Policy
- All members of the University community have a responsibility to maintain an environment that is free from all forms of harassment, including sexual harassment.
- Sexual Harassment comes in many forms, such as:
- Sexually explicit posters, screen savers, calendars, graffiti or other objects
- Unwelcome sexual advances
- Unwelcome email, telephone calls, gifts or notes of a sexual nature
- Conduct that is sexual in nature including, but not limited to: touching, hugging, pinching, patting, brushing up against another individual’s body or clothes
- Physical assaults

Any Student employee who thinks they are being sexually harassed is asked to please speak to:
- Their supervisor
- Someone in the Office of Financial Aid
- Someone in the Office of Human Resources
- The Vice President for Student Affairs
